1. Who we are
Alphabeta is a customer engagement platform used by insurance providers to manage policyholder records, run voice and SMS outreach campaigns, handle claims and onboarding tickets, and schedule follow-up appointments. This policy explains what data the platform handles and how it is protected.
Alphabeta is business software: accounts are created by an administrator at the subscribing organisation, not by members of the public.
2. Information we handle
- Account information — the name, email address, role and password hash of each staff user of the platform.
- Contact records — policyholder details uploaded by the subscribing organisation, which may include name, phone number, email address, date of birth, policy number, policy status, branch and agent code.
- Communication records — call logs, call durations, outcomes, recordings, transcripts and message delivery status for outreach carried out through the platform.
- Support records — claims and onboarding tickets, their status history and any notes added by staff.
- Billing information — wallet balances and payment references. Card and mobile money details are entered directly with our payment provider and are never stored by Alphabeta.
- Google account data — described separately in section 3 below.
3. Google user data
Connecting a Google Calendar is optional and is initiated by the individual staff user. If you choose to connect, Alphabeta requests access to your Google Calendar in order to:
- display your upcoming calendar events inside the platform; and
- create calendar events when you schedule a meeting or follow-up from a ticket or from the calendar page.
Alphabeta stores the access and refresh tokens issued by Google so the connection continues to work between sessions, together with the calendar identifier. Calendar events are read on demand and displayed to you; they are not copied into our database for advertising, profiling or resale.
Limited Use disclosure. Alphabeta’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to serve advertising, we do not sell it, and we do not allow humans to read it except where required for security, to comply with law, or where you have given explicit consent.
You can revoke access at any time from the Calendar page in the platform, or from your Google account permissions. Revoking removes the stored tokens and ends our access.
4. How we use information
Information is used to operate the service: authenticating users, placing and recording the calls and messages that staff initiate, tracking claims and onboarding work, metering usage against the organisation’s balance, and providing the reporting shown in the dashboard. We do not sell personal information, and we do not use it for advertising.
5. Service providers
We rely on a small number of processors to deliver the service: telephony and voice AI providers to place calls and produce transcripts, messaging providers to deliver SMS, a payment gateway to process top-ups, and cloud hosting and email providers. These providers process data only to perform their function for us.
6. Retention and deletion
Records are retained for as long as the subscribing organisation maintains its account, unless deleted earlier from within the platform. Google tokens are deleted immediately when a user disconnects their calendar. To request deletion of your data, contact the administrator at your organisation or write to us at the address below.
7. Security
Access to the platform requires an account and password, and features are restricted by role. Data is transmitted over encrypted connections, integrations are authenticated with signed requests, and access to production systems is limited to authorised personnel. No system can be guaranteed completely secure, but we work to protect information using appropriate technical and organisational measures.
8. Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal information, or to object to certain processing. Because contact records are supplied and controlled by the subscribing organisation, requests relating to those records are directed to that organisation. Requests about your own staff account or connected Google data can be sent to us directly.
9. Changes to this policy
We may update this policy as the service changes. The revision date at the top of this page indicates when it was last amended, and material changes will be communicated to subscribing organisations.
